Admin Assistant to Property Manager-N.Miami Beach









Looking for an experienced Administrative Assistant, which possess strong communication and organizational skills, Fluent in Spanish is a plus, proficient in Word, Excel and be able to adapt to any other programs necessary to complete the assigned task. Must be a self-starter and work independently.
Real Estate experience a must.

Job description

  • Types and distributes necessary correspondence for the property manager(s). Prepares and maintains all office invoices and expense reports on a monthly basis
  • Handles rollover calls for the property manager(s) when they are out of the office. Order office supplies
  • Codes and processes vendor invoices and coordinates corresponding paperwork for submittal to accounts payable.
  • Takes maintenance calls from tenants, arranges for service, creates work orders and follows up with vendor and tenants when needed.
  • Reports insurance claims to insurance company and assists them with whatever is needed to complete an investigation.
  • Assists with tenant account reconciliations.
  • Generates all new tenant welcome packages, all new contracts and Open/Close forms.
  • Obtains Certificates of Insurance from contractors, vendors, and tenants.
  • Obtains tenant gross sales figures.
  • Assists in the mailing of Tenant Notices.
  • Obtains all paperwork for TI reimbursements from tenants and prepares for payment.
  • Ensures that the utilities have been disconnected or put into Landlord's name after a tenant vacates.
  • Ensures that the utilities are taken out of Landlord's name and put into the new tenant's name when a tenant moves into a space. Fill out utility memo and fax to AP.
